You should simply provide a vegetarian menu option
without anyone having explicitly to ask for it.
I assumed we already agreed on that in former messages.

Unfortunately it is not an option from the food providers without paying extra for a number of spare meals.

Likewise other food preferences are important to collect in advance such as allergies.
